By booking a place, you are agreeing to the following Terms and Conditions:

Bookings and Payments

Initial bookings for taster sessions and for a term must be booked with one of our admin team or online. Once the taster session has been completed you have a period of one week to sign up for British Gymnastics membership and pay class fees. No classes can be attended without British Gymnastics membership and payment of fees being made. You risk losing your child’s place in a class if you do not make full payment for courses prior to a new course.

British Gymnastics Membership 

All members (Parent & Toddlers excepted) are to make payment for their membership through British Gymnastics. It is your responsibility to make sure your child’s membership is paid and registered before your child attends a course of gymnastics (not a taster session). If not, your child will be unable to attend until this payment to British Gymnastics is made. Cancellations

Course fees are non-refundable. If you wish to cancel your course at any time, refunds will not be available.

In exceptional circumstances it may be necessary for ClubNorth Gymnastics to cancel a class. If this happens, you will be notified with as much notice as possible by email and on our social network. If the cancellation is outside of our control – for example due to a power outage at a venue or extreme weather conditions a refund will not be made.

If classes are cancelled due to COVID-19 government restrictions, no refund will be made but a voucher will be offered to make up all missed classes.

Charges

We appreciate that some children do not always wish to take part on the day or may wish to attend other events but we are unable to refund for any children who do not take part, this is due to the fact that we have reserved the space for your child and the staff and venue have already been arranged. Please note that it is quite normal for children to be shy when they first attend and their confidence will grow in the weeks to come. The coaching team are experienced in dealing with this and will be happy to work with your gymnast to improve their confidence. Once a course or series of lessons has been paid for, you are not entitled to a refund if your child does not wish to attend.

We do not offer makeup classes for lessons missed or attendance at an alternative lesson during the week. This is due to ensure the health and safety and educational continuity for our gymnasts.

Arriving at Classes and Leaving

In independent classes (where the adult is not required to participate in class) adults are asked to drop and collect their child at the entrance ‘drop off zone’ to the gym in accordance with British Gymnastics guidelines. At the completion of a lesson gymnasts without parents/guardians will not be allowed to leave unattended unless prior written consent has been given. This consent will only be accepted for gymnasts aged 12 and over. Gymnasts are required to arrive in good time to start the class promptly. 

Disruptive and Inappropriate Behaviour

Gymnasts in attendance at classes are asked to be civil, courteous and friendly to other members and staff at all times. Should a child demonstrate inappropriate, disruptive, or abusive behaviour, the coach will issue two supportive and friendly reminders before issuing a sanction or ‘time out’. If the behaviour continues, the parent or guardian will be informed and if subsequent poor behaviour continues, the gymnast may be asked to stop attending further lessons without a refund. ClubNorth coaches and staff are entitled to work in a safe environment. Any aggressive, threatening or intimidatory language or behaviour from any parent (or adult friends, family or associates) will not be tolerated and will result in an immediate cancellation of their child’s membership without a refund of remaining classes.

Illness

No refunds or credit will be issued once a class has been paid for. In the event a child cannot complete the remainder of a term’s sessions due to a serious medical condition (such as a broken bone), a credit note will only be considered on production of a signed, valid and dated doctor’s note with a full explanation of the illness. 

Holidays

Holidays taken within course dates will not decrease the price of the course. Full payment for the course must still be made and no refunds will be given for weeks missed due to holidays. 

Disabilities

On booking, please give full details of any child with any disabilities or special learning needs. It is the parent/guardian’s responsibility to notify us of such disabilities/needs to ensure safe and effective teaching methods and maintenance of standards. Some disabilities will need additional checks from our insurers and we may require you to provide letters from medical professionals on this before classes can be attended. We may not be able to cater for every disability/need but will do as much as we can to help or guide gymnasts to a provider who offers specialist courses.

Medical Conditions

Guardians must update the administration office with details of new or changing medical conditions.

Toilet Visits

To keep toilet visits to a minimum, if your child is potty trained, please take them to the toilet immediately prior to the commencement of any class so there will be as little disruption during class times. If your child is not potty trained and in a Reception class, we must be notified beforehand, so we are aware.  

Physical Contact

Parents should be aware that due to the nature of gymnastics it is necessary for the coaches to have physical contact – known as “handling” or “supporting” the gymnasts.

Food and Drink During Class

No food or drink can be taken into the class, drinks bottles can be placed outside the gym clearly labelled in the designated area and must be taken at the end of the session.

Lost Property

All property is the responsibility of the child and parent/guardian attending class. ClubNorth Gymnastics cannot be liable for any lost or damaged belongings. Items found will be held at the office for a period of one month before being disposed of or donated to charity. Children are not to wear any jewellery during sessions.

Understanding Risk

Due to the nature of activities at a gymnastics club we wish to inform you that the possibility of serious injury exists. It is vital that members follow instructions given to them by coaches to decrease the risk of serious injury. By attending class, it is deemed that you accept all risks associated with such participation.

First Aid and Safeguarding

All staff are qualified first-aiders and are trained to administer first aid assistance should your child require it. The emergency services will be called if further assistance is needed. Parents should ensure that any special requirements or allergies are notified when booking to ensure that appropriate treatment is given when treating your child. ClubNorth staff are all Child Protection/Safeguarding trained to Level 2/3.

Photography

During lessons, some photographs may be taken which may be used in future to promote ClubNorth Gymnastics, both in print and online. If you do NOT wish your child’s image to be used in this way, please let us know when booking by emailing clubnorth@queenspark.co.uk Please note that names will not be used in any publicity adjacent to photographs of children.

Complaints Procedure

ClubNorth Gymnastics will do everything in its power to provide the best possible standard of care and service at all times. If however you are not satisfied with the service that you or your child have received, please contact Robert Ellings (Director) at info@clubnorth.co.uk
